The philosophy of the School of Medicine is to provide the highest quality educational experience possible within the bounds of the resources available, to encourage the professional growth of students through participation in the educational process, and to respond to the needs of both students and faculty as these arise.
The Academic Affairs Office serves as the primary point of contact for medical students. We encourage students to think of the office as a place to which they can come for routine matters, for advice in planning special programs or activities, and for assistance with problems or concerns.
The Academic Affairs Office is located in A-300, which is off the Health Sciences lobby area. The office hours are 8:00 a.m. to 5:00 p.m. on Monday through Friday. Drop-in appointments are possible with the deans, although you may find that a scheduled appointment will be more efficient, both from the standpoint of assuring the dean’s availability and of there being time to prepare for the discussion.
The main Academic Affairs phone number is (206) 543-5560 for all of the deans and directors located in A-300. Multicultural Affairs (206) 685-2489, Counseling Services (206) 543-9084, Financial Aid Office (206) 685-2520, and Student Resource Center (206) 543-9733 are located on the fifth floor of the T-wing. The Academic Affairs Office is supported by the Dean’s Office reception area, which is located inside the A-300 suite. When entering the suite, please identify yourself to one of the receptionists, who will contact whomever you need to see to alert her or him that you are in the reception area.
There are many Academic Affairs activities that relate to the education of medical students. The major areas of involvement include admissions, curriculum and course management, student affairs (including student academic progress, financial aid, general advising, and career counseling), and multicultural programs. The Deans and Directors listed below are assisted by a number of professional and support staff who you will get to know. The “Academic Affairs Resources”, which is linked above, will assist you in knowing to whom to direct your questions.

- Thomas Norris, M.D., is Vice Dean for Academic Affairs and a Professor of Family Medicine, as well as an Adjunct Professor of Medicine, Health Services, and Medical Education and Biomedical Informatics. He oversees the Academic Affairs Office including admissions, curriculum, student affairs, multicultural programs, and the Colleges, and he chairs the Faculty Council on Academic Affairs. Dr. Norris is also responsible for oversight of the offices of Continuing Medical Education and Telehealth Services.

- David A. Acosta, M.D., Associate Dean for Multicultural Affairs, is responsible for the School’s recruitment of disadvantaged students that involves an array of high school and college programs. The Program provides a variety of support services, enrichment programs, and professional development activities for medical students.

- Carol F. MacLaren, Ph.D., Associate Dean for Student Affairs and Chief Administrative Officer for Academic Affairs and a faculty member in the Department of Medical Education and Biomedical Informatics, provides personal and academic advising, oversees the tutoring and counseling services, has responsibility for the mentoring and career counseling programs, prepares the Dean’s Medical Student Performance Evaluation, and oversees the School’s financial aid policies. She chairs the Student Progress Committee and the Honors and Awards Committee. She is also the administrative dean for the Colleges.

- Julie Calcavecchia, M.Ed., Program Operations Administrator for ICM, is responsible for overseeing all of the logistical elements of the two-year Introduction to Clinical Medicine Course. In addition, Julie provides professional staff support to The Colleges and acts as a liaison with faculty and students about course related issues. Julie is responsible for supervising the Patient Interview Coordinators and the Sr. Computer Specialist for The Colleges.

- Pat Fero, Director of the Office of Admissions, has responsibility for overseeing the operations of the Admissions Office and staffs the Executive Committee of Admission. The office also oversees and coordinates the WSU lottery with the Washington State University WWAMI staff, and assists with requests for swaps from incoming students at other regional sites.

- Michelle Fleming, Administrative Manager for Student and Academic Affairs, has responsibility for many of the student programs including first and second year and USMLE orientations, the residency selection forum, and the career counseling system. She is the prime contact for Student Affairs program information, maintains the Student Affairs website, and manages Dr. MacLaren's calendar.

- Victoria Gardner, M.Ed., Associate Director of Multicultural Affairs (OMCA), is in charge of overseeing the administrative, staff, budgets, grants and program activities of the OMCA. She is also an advisor for premed students from diverse or disadvantaged backgrounds who are interested in pursuing medical careers, and develops activities within the community that foster students’ work with underserved populations.

- Alan Kent, Ph.D., Director of Counseling Service, has oversight of the programs developed by the Counseling Service, which has two other part-time counselors. The counselors see students on an individual basis.

- Constance Lamb, Director of Registration and Scheduling and Registrar for the School of Medicine, is responsible for overseeing issues related to student registration and scheduling of the HuBio and clinical curriculum, determination of student attainment of sufficient credits for graduation, and management of student progress remediations, expansions, leaves, and other program modifications. Programs such as USMLE registration, ERAS, and NRMP are coordinated by staff in the Registration and Scheduling Office.

- Diane Noecker, Financial Aid Officer for the School of Medicine, is responsible for administering the School’s scholarship and loan funds and the Title VII federal aid programs. She provides general advise on financial aid, organizes programs to assist student with the impact of indebtedness, and serves as a liaison for the medical students with the University’s Office of Student Financial Aid.
