Third and Fourth Year Registration and Scheduling Policies

OFFICIAL UW REGISTRATION FOR CLINICAL CLERKSHIPS: For each quarter that a student is scheduled to take clinical clerkships, the Registrar for the School of Medicine will register the student at the University of Washington for a course entitled Conjoint 699, Clinical Clerkships. Six weeks after the end of each quarter, the Registrar will run a computer process that replaces the Conjoint 699 registration with the actual clerkship titles and credits that the student took. This registration process provides us with flexiblity in revising students' clinical schedules.

Each full-time week of clinical clerkships is worth 2 credits. If a student is taking between 2 and 12 clinical credits, their Conjoint 699 registration will be for the exact number of credits taken. If a student is taking 13 or more credits, their Conjoint 699 registration will be for 13 credits, as 13 or more credits is full-time status.

All credits for a clerkship are applied to the quarter in which the clerkship begins, i.e., if a clerkship begins in the last two weeks of Winter Quarter and continues through the first two weeks of Spring Quarter, all eight credits are applied to Winter Quarter for registration, financial aid, and tuition purposes. Any clinical schedule changes that raise the Conjoint 699 credits up to or below 13 credits (full-time status) must be adjusted via the add/drop procedure at the main UW Registrar's Office. Any add/drops that occur after the first week of the quarter require payment of a change of registration fee.
CONTACTS FOR CHANGING CLINICAL SCHEDULES:
- In order to change a required third year clerkship you must contact the Registrar (celamb@u.washington.edu).
- To change a required fourth-year clerkship or a clinical elective, you should contact the scheduling Program Coordinators. These Program Coordinators are available to make schedule changes on Tuesday and Thursday mornings from 8:30 a.m. until 11:30 a.m., and on Wednesday afternoons from 1:00 until 4:00 p.m. in person in A300 HSB or by telephone at (206) 543-5560. We do not schedule via email.
POLICIES FOR CHANGING CLINICAL SCHEDULES:
- All clerkship adds and drops must be done at least 6 weeks prior to the beginning of the clerkship.
- In the case of an emergency where a student is unable to take a scheduled clerkship, the student should contact the Registrar (celamb@u.washington.edu) as soon as possible to revise their schedule.
- Students are not permitted to simply drop required clerkships that are at non-Seattle sites. Any student who wants to change a non-Seattle required clerkship assignment must identify students who are willing to trade and fill their non-Seattle required clerkship spot as part of a trade, leaving all non-Seattle required clerkship sites with their enrollment intact.
- In order to drop a Medicine Subinternship, a student must have another UW student replace them.
- The Rehabilitation Medicine Department requires that adds and drops of their clerkships, including Conjoint 690 - Chronic Care, be arranged at least one full month prior to the beginning of the quarter in which the clerkship occurs.
WWAMI HOUSING POLICIES:

The University provides housing for students assigned to required clerkships at WWAMI sites outside of the Seattle area unless they are participating in the Alaska, Idaho, or Spokane state track program. State track students are required to provide their own housing in Anchorage, Boise, and Spokane. At the time of clerkship scheduling, assignments are made according to the housing information provided by the student on his/her clerkship preference form.

Family housing is not available at all clerkship sites. Student families [student and spouse/domestic partner and child(ren] do not share housing with another student, couple, or family.

Clerkship assignments and housing availability may result in two students of opposite gender sharing a two-bedroom apartment or house. If this arrangement in unacceptable to you, please indicate this on your preference form.

If a student's housing needs change (e.g., student marries, has a child, etc.) during the period from when a student is scheduled in a clerkship until it begins, the student must inform the Registrar and the Clerkship Department Coordinator as soon as possible to determine whether the changed housing needs can be accommodated at the clerkship site.

Pets are not allowed in any clerkship housing.

Students are expected to maintain the cleanliness of the clerkship housing.
WWAMI TRAVEL
TAKING CLERKSHIPS AT OTHER INSTITUTIONS:
- After completing a minimum of three quarters of basic clinical clerkships, students may take clerkships at other institutions. Away Clerkship Forms and related information are available in the Academic Affairs Office, A300 HSB. No more than twenty-four approved credits away from the University of Washington will be counted toward graduation requirements, although credits taken in excess of twenty-four credits will appear on the student record. If a student wishes to take more than one clerkship in any one discipline, he/she must have prior approval.
RETURNING STUDENT APPLICATION:
- Students who are out of school for two consecutive quarters (excluding Summer) will need to complete a Returning Student Application and pay a $50.00 reentry fee. The forms may be obtained from the main UW Registrar's Office. Once the UW upper campus Registration Office approves reentry, students are eligible to register.
