Which grant faculty personnel do I need to list in the eGC1 personnel section?
All faculty that have assigned effort to the project, with or without salary, need to be included in the personnel section of the eGC1.
Do faculty mentors need to be listed in the eGC1?
Yes. Faculty mentors, with or without salary, need to be listed in the eGC1.
What other personnel, in addition to grant faculty, do I need to list?
Non-faculty listed as key personnel in the grant application must also be included in the eGC1 for Significant Financial Interest purposes.
Which departments do I need to add to the electronic approval grid in SAGE?
All departments of faculty with joint appointments must be added to the eGC1. Use FG-9 to add. Note: There are a few exceptions. Faculty with appointments preceded by adjunct or affiliate in School of Medicine departments do not need to have that department included in the electronic approval grid.
Personnel have reported Significant Financial Interest on my grant. What do I do?
- Mark yes to SFI in the eGC1 personnel section.
- Individual reporting SFI completes the GIM 10 form and required letter to the vice provost of research.
- Individual reporting SFI signs the GIM 10 form.
- Submit the form and sealed letter to department chair for signature.
- Write the eGC1 number that the GIM-10 concerns on the GIM-10 or include in an attached note.
- Send the original GIM-10 and the sealed envelope, which now has the Department Head's signature, to the Grants Review Unit. The Grant Review Unit appreciates your informing us in advance when we can expect to receive the GIM-10 and sealed envelope.
- The Grant Review Unit signs.
- GIM-10 and the sealed envelope are sent on to OSP. Once OSP has received the complete SFI materials, OSP will process and the grant proposal can move forward to the sponsor (pending review).
If there is Significant Financial Interest, will the dean's office approve the eGC1 without the GIM 10 form?
No. The GIM 10, containing the appropriate signatures and sealed envelope, must be received by the dean before the dean will review.
I am not sure if my project qualifies as a clinical trial. How do I know if it is a clinical trial and whether I should mark yes to HS-1 A on the eGC1?
Talk to your PI. If your proposal fits the following definition, HS-1 A on the eGC1 should be marked yes: a study designed to assess the safety and/or efficacy of drugs, devices, diagnostics, treatments, or preventive measures in humans. If you still have questions about whether your proposal is a clinical trial, contact us.
How can I deliver mail to the Grants Review Unit?
Is there a courier service?
Yes. There is a courier service between the Health Sciences Building/Harborview Medical Center and the South Lake Union campuses, where the Grants Review Unit is located.
How do I get to the South Lake Union campus?
The South Lake Union campus has parking on site (at a fee) and regular shuttles to and from the UW main campus and Health Sciences and Harborview campuses.
Parking permits/commuter tickets can be validated at the main reception desk of the Administrative Building. There is no free visitor parking or load/unload spaces.
On street city parking spaces may be available. Driving directions may be found at the South Lake Union website.
I am applying to a grant opportunity that has a limit on the number of applications an institution may submit. What do I do?
You are required to participate in the UW’s internal selection process in order to submit to a limited opportunity. If you do not receive prior approval from the UW Office of Research or the School of Medicine limited opportunities coordinator, your grant will not move forward to the sponsor.
